How this marketing site handles your information.
What we collect here
This site (engage.moonraker.ai marketing pages) collects the information you submit through our forms: your email address, your practice website, and anything you write in a form field. When you request an assistant preview, we also fetch the public pages of the website you submit in order to build that preview, and the preview conversation itself is held in memory for about two hours and then discarded. We use what you submit to build your preview and to contact you about Engage. We do not sell it, and outside Moonraker we share it only with the service providers who run this site: hosting, email delivery (Resend), bot protection (Cloudflare Turnstile), and the analytics and advertising measurement described below.
Analytics and advertising cookies
The marketing pages use Google Analytics and Google Ads measurement to understand which pages and campaigns work. These set cookies in your browser. The Engage application itself (everything behind sign-in) does not load analytics or advertising tags of any kind.
Google Calendar data
A practice can connect a clinician's Google Calendar so the assistant offers real openings instead of guesses. Connecting is optional, is started by the practice, and requires that clinician to approve access through Google. Engage requests two permissions: reading calendar events, used only to work out which times are already busy, and managing calendar events, used only to create, change, or cancel the appointments booked through Engage.
We store the access credential encrypted, scoped to the practice that connected it, and use it for nothing else. We use calendar entries only for the times they occupy: our systems take each entry's start and end time to work out busy periods, and no other event content (titles, descriptions, attendee details, locations) is ever stored, displayed, or passed on, although Google's responses containing it pass through our servers' memory. We do not use Google user data for advertising, we do not sell it, and we do not use it to train generalized artificial intelligence or machine learning models. No Moonraker employee reads a connected calendar except where a practice asks us to help with a specific problem, or where the law requires it. Disconnecting the calendar in the Engage dashboard removes our stored credential, after which we can no longer read or write that calendar; you can additionally revoke Engage's access at any time from your Google Account's third-party access settings.
The Engage assistant that chats with website visitors is powered by a Google Gemini model served through Vertex AI inside Moonraker's own Google Cloud project, under a Business Associate Agreement. The only calendar-derived information that model ever receives is a list of open appointment times, computed by subtracting busy intervals from the practice's configured business hours. Event titles, descriptions, attendee details, locations, and all other calendar content are never sent to any AI model. Google user data is processed for inference only: under Google Cloud's Vertex AI terms it is not used to train or improve Google's models, and Moonraker does not use it to train, fine-tune, or improve any model of our own. No Google user data is ever transferred to any other AI provider, aggregator, or model hub.
Engage's use and transfer of information received from Google APIs adheres to theGoogle API Services User Data Policy, including the Limited Use requirements.
Client data in the Engage product
Data handled inside the Engage product for our practice customers is governed by our service agreements with those practices, including Business Associate Agreements where applicable, and is held on infrastructure designed for HIPAA-regulated workloads, separately from marketing-site form submissions. One overlap is visible on purpose: the live assistant demo embedded on these marketing pages is a real Engage assistant running on our production service for a synthetic demonstration practice, so a conversation with the demo is handled by the Engage product the same way a practice's own assistant handles visitor conversations.
Product records are not kept forever: conversation and enquiry records older than our retention window are anonymized on a rolling schedule, removing identifying content while anonymous usage records remain. Practices can request export or deletion of their data under their service agreement.
